How to Manage Corporate Insurance Renewals Without Missing a Date
SAIBA Corporate · 2 September 2026 · 6 min read
A missed renewal is one of the most avoidable — and most expensive — failures in a corporate insurance programme. Either cover lapses, or it’s renewed in a rush with no time to negotiate. Both are the result of the same thing: a date that crept up unseen.
The real cost of a missed renewal
A lapse leaves a window with no protection — and if a loss lands in that window, it’s uninsured. A rushed renewal is quieter but still costly: no time to market the risk, review terms, or correct the sum insured means you take whatever’s offered, often at a worse price.
Why renewals slip
In a multi-policy, multi-unit programme, renewal dates are scattered across insurers and spreadsheets. Reminders live in one person’s calendar. When that person is on leave — or has moved on — the date goes with them.
Build one renewal calendar
The fix starts with a single, shared calendar of every policy’s renewal date, owned by the programme rather than a person. Everything expiring in the next quarter should be visible at a glance, sorted by date, with the responsible owner against each.
Work a 90-day renewal runway
- 90 days out: confirm what’s renewing; review the register and correct sums insured; flag any gaps to fold in.
- 60 days out: brief your broker; market the risk where it’s worth it.
- 30 days out: compare terms; get internal sign-off.
- Before expiry: bind, issue, and record the new policy in your register.
Don’t forget the endorsements in between
Cover doesn’t only change at renewal. Business units rename, move or restructure through the year, and each change may need an endorsement so the policy matches reality. Handle those cleanly, with effect-from dates, or you’ll rebuild the same gaps you closed at the last renewal.
Automate the reminders
A calendar only works if it prompts you. A platform that tracks every renewal and alerts the owner well ahead — and makes a silent lapse impossible — turns renewals from a fire drill into a routine. SAIBA Corporate keeps the calendar and the reminders in the same place as the register and the gaps.
