Privacy Policy

1. Information we collect

We collect information you provide directly to us when you:

• Create an account: name, work email, phone number, organisation name and business-unit structure.
• Use the service: the insurance-program data you enter — asset, stock and people registers, policies, endorsements, renewals, claims, travel and payment records.
• Contact us: communications, feedback and enquiries you send.
• We also collect certain technical information automatically, including IP address, browser type, device identifiers, usage logs and cookies.

Where the platform is deployed on-premise on your own infrastructure, the program data resides entirely on your servers and is not transmitted to us.

2. How we use your information

We use the information we collect to:

• Provide, maintain and improve the SAIBA Corporate platform and services.
• Send technical notices, updates, security alerts and support messages.
• Respond to your questions and provide customer service.
• Monitor and analyse usage to improve the product.
• Comply with legal obligations and enforce our Terms & Conditions.

We do not sell, rent or trade your personal information to third parties for marketing purposes.

3. Data storage and security

We implement industry-standard technical and organisational measures to protect your data, including TLS encryption in transit, field-level encryption of sensitive data at rest, strict multi-tenant isolation, role-based access controls and regular security reviews. 4. Data retention

For cloud deployments, we retain your account and program data for as long as your subscription remains active and in good standing, and as set out in your service agreement. On termination, data is returned or deleted in line with that agreement and our Data Deletion Policy. Backups may retain deleted data for up to 30 additional days before permanent removal, except where longer retention is legally required (e.g. tax/financial records). For on-premise deployments, retention and deletion are controlled entirely by you.

5. Third-party services

For cloud deployments we rely on a small number of trusted providers — cloud infrastructure (hosting and storage) and email delivery for transactional and notification emails. These parties access your information only as necessary to perform their functions and are obligated not to use it for any other purpose. On-premise deployments use your own infrastructure.

6. Cookies

We use cookies and local storage to keep you signed in, remember preferences and understand product usage. See our Cookie Policy. We do not use advertising or cross-site tracking cookies.

7. Your rights

Subject to applicable law, you may:

• Access the personal information we hold about you.
• Request correction of inaccurate or incomplete information.
• Request deletion of your personal information, subject to legal retention requirements.
• Object to or restrict processing in certain circumstances.
• Export your data from within the platform.

8. Children’s privacy

SAIBA Corporate is intended for use by organisations and individuals who are at least 18 years of age. We do not knowingly collect personal information from children under 18.

9. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by the “Last updated” date above. Your continued use of the service constitutes acceptance of the revised policy.
